| This is my new job and I am very nervous. I am not afraid of hard work but I am very shy and I'm not sure how I'll get on when on the phone, etc. And I'm scared because there are going to be so many people around. This is the job description: Job Summary: Working largely independently with minimal supervision to provide administrative and clerical support to the Clinical Director, Consultants, Junior Doctors and Secretarial Staff in the performance of their duties. Duties. 1.Filing all correspondence, results, agendas etc. 2.To deal with the receipt and dispatch of correspondence. 3.Retrieving patient’s notes for clinics inside and outside of the department (eg wards), making relevant inquiries and using initiative to do this. 4.Prepare and control notes to ensure that they are complete and available for departmental staff. 5.Inform medical staff of missing notes. 6.To accurately file all patient correspondence in hospital notes. 7.Inform medical records and other departments of any notes that require merging or are duplicated. 8.Access Cerner for inquiries (eg appointments), and to confirm patient details, so as to facilitate the tracking of patients’ notes. 9.To answer telephone calls and deals with inquiries pleasantly and efficiently and relay messages when necessary. 10.Maintain patient confidentiality. 11.To be responsible for the receipt of goods to the academic and clinical department to maintaining appropriate delivery records. 13. To be responsible for the timely distribution and/or appropriate storeage of goods received into the department. 15. Collect and distribute all mail on a daily basis 16.Maintain fax and photocopier, ordering consumables when necessary. 17.Maintain stationery stocks ensuring these are stored securely, and order as appropriate. 18.Inform Works Department of repairs required and follow up action if necessary. 19.Keeping the office area and seminar room tidy and presentable. 20.Assist with the scanning of BMT notes as required. 21. Update departmental telephone list as required. OTHER DUTIES •Ensure the health and wellbeing of staff, visitors and patients by adhering to the Health and Safety at Work Act. •Maintain confidentiality by working within the Data Protection Act at all times. This job description is not intended to be exhaustive. The responsibilities and duties will change as the service needs change. The role of the administrative assistant will be reviewed at regular internals in conjunction with the post holder. Basically I will be helping the secretaries to help the consultants. |

| I think this kinda job requires a certain personality type. I would think your personality would have shown through during the interview so I guess there fine with that. Just focus on learning your job and don't be afraid to ask questions if you don't understand something or you feel like you weren't trained properly. I'm assuming you have no experience in this field. |

| It sounds like a lot, but in time u will get it down. I'm sure the former admin assistant left a "admin assistant duties" binder that specifies what to do. The only thing i hate doing R taking "minutes". I used to use a tape recorder during meetings instead of writing cuz i found that easier. Then i would type it out and get it ready for staff in a timely manner. Just make sure u bring a notebook to write ur notes on how to perform ur tasks. U will be fine. Just don't feel overwhelmed. Ur not gonna learn the job in 1 day. ; ) |
